Policies

Waiver and Release of Liability

By registering for, attending and/or participating in the Aerial Evolution Conference 2026 (the “Event”), including all-related activities such as transportation (including shuttle services), off-site events, demonstrations (taking place at the Renaissance Edmonton Airport Hotel and/or the Edmonton International Airport), sessions, workshops, roundtables and on-site sessions, of any nature or kind (collectively, the “Activities”), you acknowledge and agree to the following:

Assumption of Risk

I understand that participation in the Event and its related Activities may involve inherent risks, including but not limited to personal injury, property damage, accidents, death or other unforeseen incidents. I voluntarily assume all such risks associated with my participation.

Release of Liability

I hereby release, discharge, and hold harmless Aerial Evolution Association of Canada, its officers, directors, employees, agents, contractors, partners, sponsors, exhibitors, speakers, and volunteers (collectively, the “Released Parties”) from any and all liability, claims, demands, actions, or causes of action arising out of or related to any loss, damage, injury, or death that may occur during or in connection with the Event and its Activities, whether arising from negligence or otherwise, to the fullest extent permitted by law.

Transportation Disclaimer

I acknowledge that any transportation services provided in connection with the Event and/or the Activities, including shuttles or third-party vehicles, are used at my own risk. The Released Parties are not responsible for any injury, loss, or damage of any kind whatsoever resulting from the use of such transportation, whether organized by the Event or arranged independently.

Medical Treatment

I understand and agree that, in the event of an injury or medical emergency during the Event and/or the Activities, any medical assistance provided will be at my own expense. I release the Released Parties from any liability or claim related to such treatment.

Compliance with Rules

I agree to comply with all Event policies, safety guidelines, and instructions provided by the organizers or venue personnel. Failure to comply may result in removal from the Event without a refund.

 

Photo, Video and Electronic Consent

By registering for and/or attending the Event, I acknowledge and agree that the Aerial Evolution Association of Canada may photograph, film, livestream, record, or otherwise capture my image, likeness, voice, name, and participation during the Event.

I grant the Aerial Evolution Association of Canada the right to use, reproduce, publish, display, distribute, edit, and archive such photos, videos, audio recordings, and other electronic content, in whole or in part, in any format or media, including but not limited to websites, social media, newsletters, reports, presentations, promotional materials, educational materials, and archival records.

This authorization is granted for educational, promotional, communications, historical, and archival purposes related to the Aerial Evolution Association of Canada and its activities, without compensation, prior review, or further approval.

I understand that photos, videos, and recordings may be made publicly available and may be viewed, shared, or redistributed by third parties once published.

If I do not wish to be photographed, filmed, or recorded, I understand that I must notify the Event organizers in writing prior to the Event or at the registration desk upon arrival. The organizers will make reasonable efforts to accommodate such requests, but cannot guarantee exclusion from all crowd shots, background images, livestreams, or general event recordings.

 

General Terms and Conditions

Creating an Account

Creating an account is not mandatory to make an online purchase, but it offers several advantages:

  • Your profile and contact information are saved for faster future transactions.
  • Your purchase history is stored in the “My Account” section.
  • You can modify your account at any time. To delete your account, please email us at admin@aerialevolution.ca.
  • We take all necessary measures to ensure the confidentiality of your personal data, in accordance with applicable law.

Users are responsible for maintaining the confidentiality of their account, personal contact information, and password. We cannot be held responsible for unauthorized use of your account. Users must notify us as soon as possible of any unauthorized use or potential security breach by emailing admin@aerialevolution.ca.

Prices and taxes

Prices are displayed in Canadian dollars and do not include applicable taxes. We reserves the right to change its prices at any time. No administration fees are added to transactions made through our online payment platform (PAYPAL).

Personal Information

We are committed to protecting your personal data.

For registration purposes, personally identifiable information collected by AEAC may include:

  • Your last name;
  • Your first name;
  • Your employer;
  • Your home and work addresses;
  • Your email address;
  • Your phone number;
  • Your fax number;
  • Your payment information (credit card and other information provided by PayPal);
  • Information relevant to participation in the event.

Authorized personnel may correct, update, or add personal and professional information.

Your personal information is collected through:

  • Our registration forms;
  • Our contact forms;
  • Cookies and web beacons.

Use of Attendee Information

By registering for and/or attending the Event, I consent to the collection, use, storage, and disclosure of my attendee information by the Aerial Evolution Association of Canada for purposes related to the organization, administration, delivery, promotion, evaluation, and follow-up of the Event.

This information may include, but is not limited to, my first name, last name, job title, company or organization name, email address, phone number, registration type, attendance status, and other information provided during the registration process.

My attendee information may be used for the following purposes:

  • processing and managing my registration;
  • communicating with me before, during, and after the Event;
  • preparing attendee lists, badges, seating plans, access lists, and event materials;
  • managing access to the Event web app, networking tools, sessions, activities, and exhibitor areas;
  • supporting networking and business development opportunities among attendees, exhibitors, sponsors, partners, and organizers;
  • responding to inquiries, requests, or issues related to the Event;
  • analyzing attendance, participation, and event performance;
  • meeting legal, accounting, contractual, insurance, security, and administrative requirements.

Sharing your personal information

Your personal information is accessible only to our representatives, subcontractors, or suppliers whose duties require it. These individuals are required to protect your personal information in accordance with this policy.

Assigned passwords and usernames are not made available to any person or entity other than the user and staff members authorized by us.

We may disclose a user’s personal information for reasons expressly stipulated in the Private Sector Protection of Personal Information Act C.P-39.1, including to our lawyers, following the issuance of a subpoena or other court order, or for the purpose of preventing an act of violence.

We take the necessary measures to protect your personal information from unauthorized disclosure. We will not use or transfer the personal information provided to us, and it will not be disclosed or marketed without your prior consent.

If you have a user account on our website, you can view or modify your personal information at any time.

Your personal information is stored in our dedicated space on L’ASSOCIÉ’s server in Montreal.

Sharing of Attendee Information with Exhibitors, Sponsors and Partners

I understand and consent that the Aerial Evolution Association of Canada may share limited attendee information with Event exhibitors, sponsors, partners, and authorized service providers for Event-related purposes.

The information shared with exhibitors, sponsors, and partners may include my first name, last name, company or organization name, job title, and, where applicable, business contact information.

This information may be used by exhibitors, sponsors, and partners for networking, business development, lead management, event follow-up, and professional communications related to the Event.

The Aerial Evolution Association of Canada will not knowingly authorize the sale of attendee information to third parties for unrelated purposes. Exhibitors, sponsors, partners, and service providers receiving attendee information are expected to use such information only for legitimate Event-related purposes and in accordance with applicable privacy laws.

I understand that if I voluntarily allow an exhibitor, sponsor, or partner to scan my badge, collect my business card, or otherwise receive my information during the Event, I am authorizing that exhibitor, sponsor, or partner to contact me directly for Event-related follow-up.

Security measures in place

We are fully committed to protecting the security of your data. We have implemented physical, electronic, and managerial procedures to safeguard and secure the information provided online. To do this, we use the following measures:

  • SSL (Secure Socket Layer) protocol;
  • Communication encryption;
  • Network monitoring software;
  • Computer backup;
  • Username and password;
  • Firewall;
  • Use of captcha.

Event Web App and Attendee Visibility

I consent to the display of my name, company or organization name, job title, profile information, and other registration details that I choose to provide within the Event web app, attendee platform, networking tool, or related Event materials.

I understand that certain attendee information may be visible to other registered attendees, exhibitors, sponsors, partners, speakers, and Event organizers for networking and Event participation purposes.

I am responsible for the accuracy of the information I provide during registration and for any additional information I choose to make visible through the Event web app or networking platform.

Our website may contain links to external sites. We are not responsible for the privacy practices or content of these external websites.

If you believe that an external website linked to from our website does not comply with the current privacy policy, please contact us.

Reporting a privacy incident

You may report a privacy incident to us at any time, i.e., any unauthorized access to, use or disclosure of personal information, as well as its loss or any other form of breach of its protection.

 

Withdrawal of Consent

I understand that I may request to update, correct, limit, or withdraw my consent regarding the use or disclosure of my personal information, subject to legal, contractual, operational, archival, or administrative requirements.

Requests must be submitted in writing to the Event organizers. The Aerial Evolution Association of Canada will make reasonable efforts to respond to such requests within a reasonable timeframe.

I understand that withdrawing consent may limit my ability to access certain Event features, including the Event web app, networking tools, exhibitor interactions, or other services requiring attendee identification.

I also understand that withdrawal of consent may not apply retroactively to materials already produced, published, distributed, or archived prior to the receipt and processing of my request.

 

Acknowledgement

By completing my registration and/or attending the Event, I confirm that I have read, understood, and agreed to this Photo, Video and Electronic Consent and Use of Attendee Information policy.

I acknowledge that my participation in the Event is voluntary and that the collection, use, and disclosure of my information will be handled in accordance with this policy and applicable privacy laws.

 

Cancellation policy

  1. Written Notice Required
    All cancellation requests must be submitted in writing to lassocie@aerialevolution.ca.
  2. Refund Schedule
    Cancellations received 30 days prior to the event will be eligible for a full refund minus a $50 administrative fee.
    Cancellations received between 29 to 14 days prior to the event will be refunded 50% of the registration fee.
    Cancellations received less than 14 days prior to the event will not be eligible for a refund.
  3. Substitutions
    Registrants who are unable to attend may designate a substitute participant at no additional cost. Substitution requests must also be made in writing to lassocie@aerialevolution.ca.
  4. No-Shows
    Registrants who do not attend the conference without prior notice will not be eligible for a refund.
  5. Event Cancellation
    In the unlikely event that the AEAC Annual Conference is canceled, registrants will receive a full refund of registration fees. AEAC is not responsible for any other expenses incurred (including travel, lodging, or other costs).
