Location and registration

🛬 Access from the airport: follow the signs to the hotel. The Renaissance is connected to the airport by a skybridge.

🚗 Access by car: Complimentary parking in the lot highlighted in RED below (exit passes available from the Banquet Team and Front Desk).

🏨 Access from hotels to the conference venue:

If you are staying at the Renaissance Hotel: to access the event area, follow the signs in the lobby.

If you are staying at the Fairfield by Marriott Edmonton International Airport: shuttles to the airport are available 24/7. However, we recommend that you inform the hotel reception and ask for the schedule. Once at the airport, follow the signs to the Renaissance Hotel.

Once you have settled in, please come and collect your participant badge from the registration desk in the exhibitors’ hall accordingly to the registration desk schedule below. Please follow the signs to the area reserved for our event in the hotel.

The registration desk staff will be fully bilingual (French and English) and happy to assist you in either language.

🕙 Registration Desk (in the exhibitors’ hall):

  1. Monday, November 3 : 5:00 p.m. to 7:00 p.m. – if possible, we recommend that you choose this time slot to avoid the line on Tuesday morning. For those attending the VIP event on Monday evening, it is essential that you pick up your drink coupons before 7:00 p.m.
  2. Tuesday November 4 to Thursday November 6, 2025 : 7 a.m. to 5 p.m

As the hotel is operating at full capacity, please note that the check-in on Monday may take longer than usual. We kindly ask for your patience. The same situation may occur during check-out on Thursday.

🛜 Wi-Fi: Signage in the rooms will provide the login credentials to access the Wi-Fi.

To access the web app, check your emails—all participants have received the link—or scan the QR code at the event registration desk.

To pin a web app to your home screen

Open your browser menu (the three dots in the top right corner) and look for the option “Add to Home screen” or “Pin to Home screen.”

Please note that the process may vary depending on your browser and operating system.

 

On Android (using Chrome)

1. Open the desired website in Chrome.

2. Tap the three vertical dots in the top-right corner to open the menu.

3. Scroll down and select Add to Home screen.

4. You can rename the shortcut if you wish, then tap Add.

 

On iOS (using Safari)

1. Open the website in Safari.

2. Tap the Share icon (the square with an upward arrow) at the bottom of the screen.

3. Scroll down the menu and select Add to Home Screen.

4. Edit the name if desired, then tap Add.

 

Live Chat

Please register for the chat module to connect and interact with other participants. Note that this registration is separate from the account you created on the conference website; you will need to create a new account to access the chat.

Included with Full Conference Registration: Breakfasts, lunches, and two coffee break with light snacks and a complimentary drink and light snacks during each of the Tuesday and Wednesday evening networking events. Drink tickets for the networking events will only be provided at registration and will not be replaced so please keep them safe and secure. Cash bars will also be available to all participants. Please refer to the online agenda for detailed schedules.

🤧 Allergies: If you have any food allergies, please inform the head chef at the buffet. If the meal served does not meet your needs, please speak with the head chef to request a special meal for the following day.

🍽️ Other Food Options (Not Included with Conference Registration): Please note that dinner options at and around the hotel require some advance planning as the hotel’s restaurant, Halo, has limited seating and may not be able to accommodate all participants. Below are additional dining options nearby, accessible by taxi or Uber: The Willow Grill & Bar (at the Wyndham Garden Hotel) 20–30 $

🚕 Taxi/Uber fares: we recommend carpooling with other participants to reduce costs. You can use the chat module in the web app to communicate with other participants:

  1. From Renaissance to nearby restaurants: approximately $12 for a 7-min ride
  2. From Renaissance to downtown Leduc: approximately $18 for a 12-min ride
  3. From Renaissance to downtown Edmonton: approximately $45 for a 40-min ride

On November 5, 2025, we will have a variety of options for attendees. It will be important to review the agenda and plan your day to ensure make the sessions you want. Some of the workshops will be in the connected airport rooms, some of the workshops will be in the Renaissance Hotel and the demos will be a short shuttle ride away.

🚐 Shuttles: If you are planning to watch the live demos, you will need to take a shuttle from the hotel to the Field/Airport Operations Facility. They will run continuously from the site to the hotel :

  • 9:45am to Lunch time
  • 1pm to 2:30pm (then return all participants back to the hotel for the AEAC AGM)

🥗 Lunch: During the demonstration day, lunch will be served at the hotel. You will be invited to take the shuttles back to the hotel.
