Call for Poster Presentations – Submission Guidelines

To ensure your research is presented effectively, please adhere to the following guidelines for all poster submissions. The goal of a poster is to be a visual networking tool that clearly and concisely communicates your work to a broad audience.

 

All abstracts for oral and poster presentations must be submitted to sarah.graham@aerialevolution.ca

  • Deadline : September 15, 2025

  • Key Requirements : Submission via general abstract portal

  • Prize : $350

  • Notification / Announcement Date : October 1, 2025

Poster Dimensions and Format

  • Size: Posters should be printed in A0 portrait format (841mm wide x 1189mm high). This is a standard size at many technical and robotics conferences.
  • Printing: Presenters are responsible for printing and bringing their own posters to the conference. On-site printing services will not be available.
  • Mounting: Mounting materials (e.g., adhesive strips or pushpins) will be provided at the venue.

Design and Layout

  • Logical Flow: Arrange your content in a logical sequence, typically in columns to be read from top-to-bottom, then left-to-right. This allows multiple people to view your poster simultaneously.
  • Structure: Break your poster into clear sections with headers. A common structure includes:
    • Title, Author(s), and Affiliations
    • Introduction/Background
    • Methods
    • Results
    • Conclusions/Future Directions
    • Acknowledgements and References (in a smaller font)
  • Visual Appeal: Use a clean layout with ample white space to avoid a cluttered appearance. A single, large, high-impact graphic can be effective at drawing attendees to your poster. Use color strategically to enhance understanding, but be mindful of contrast and color-blindness.

Content and Readability

  • Conciseness: Your poster should summarize your key findings. The total word count should be between 300 and 800 words. Use bullet points to convey information efficiently.  
  • Font and Text Size: All text must be easily readable from a distance of 3 to 6 feet.  
    • Title: 80-120 point font.  
    • Headings: 50-70 point font.  
    • Body Text: Minimum 24 point font.  
  • Clarity: Use simple, legible fonts (e.g., Arial, Helvetica, Times New Roman) and avoid using more than two or three different fonts throughout the poster.
